1. Compensatory Time for Members of the UCPEA Bargaining Unit
Labor Relations would like to remind supervisors of the process for earning and using compensatory time for members of the UCPEA bargaining unit. Compensatory time for non-exempt employees is governed by the Fair Labor Standards Act (FLSA). For exempt employees in the UCPEA bargaining unit, the guidelines for earning and using compensatory time are outlined in Article 18 of the UCPEA contract.
Non-exempt employees
Non-exempt employees are covered by the Fair Labor Standards Act (FLSA) and their Collective Bargaining Agreement (CBA) with the University. To comply with the FLSA and the CBA, non-exempt members of the bargaining unit shall be paid their “regular rate of pay” for each hour worked up to 40 in a workweek. Therefore, UCPEA non-exempt employees must be paid their regular hourly rate for all hours worked above the standard 35-hour workweek up to 40 hours. The extra hours up to 40 are recorded in the time and attendance record in quarter-hour increments. Non-exempt UCPEA employees will continue to receive compensatory time off for hours worked in excess of 40 in a workweek, at the rate of one and one half hours for each hour worked over 40 as required by FLSA.Exempt Employees
Being exempt from the Fair Labor Standards Act (FLSA), UCPEA exempt employees earn compensatory time in accordance with Article 18 the UCPEA contract which states, “Whenever an exempt employee is required to work extraordinary hours with the prior approval of a supervisor outside the bargaining unit, compensatory time shall be afforded. When compensatory time is afforded it shall be equivalent to the extraordinary hours worked.”Approval Process for Earning Comp Time
Employees must obtain prior approval from the first manager outside of the bargaining unit (or designee) in order to earn compensatory time. The standard approval form must be used.All compensatory time must be recorded in the employee’s time and attendance record as it is earned and used at times mutually agreeable to the employee and the supervisor. Comp time must be used within 3 years of being earned.

2. Benefit Enrollment Information for New Hires
New hires and newly eligible employees must submit their paperwork to enroll in or waive the medical, dental and life insurance coverage within 30 days of their hire date or within 30 days of their eligibility date.
