Processing of Academic Department Head Changes (AAUP)

The following procedures should be used for processing salary changes when new academic department heads or acting department heads are appointed.

Policy Background: Under Article 15 of the AAUP contract, when assuming a department headship, a faculty member shall have his/her 9 month base salary rate increased by 1/9. The faculty member shall continue to earn at the increased rate for as long as he/she serves as department head. Once he/she relinquishes the headship duties, the salary shall be reduced by 1/10 of the annual salary rate being earned at that time. Such reduction shall occur whether the duties are relinquished temporarily (as when someone goes on sabbatic) or permanently. Acting appointments are also eligible for the 1/9 increase in base salary.

Procedure: Each time a new or acting head is appointed, please submit two payroll authorizations with the appropriate offer letters as follows:

  1. One authorization must be processed which reduces the salary of the former head by 1/10. (Under "REMARKS" please note, "To return to non-department head status and reduce salary by 1/10".)

  2. A second authorization must be processed which increases the new or acting department head's salary by 1/9. (Under "REMARKS" please note "To increase salary by 1/9 for new (or acting) department head".)

All increases for department head duties must be accompanied by the corresponding authorization reducing the former head's salary. This is applicable when a department head goes on sabbatic or medical leave.

Notification: Deans are requested to notify Human Resources immediately with all changes in academic headships.
