Effective immediately, the signature requirements for the employment forms listed below will be as follows:
Offer letters must be signed by a Division Head (Vice Chancellor, Vice President, Vice Provost), Dean/Director, or a designee of either the Division Head or Dean/Director. Within Academic Affairs, the Dean must sign all faculty tenure-track offer letters. The Signature Authorization Form (attached) is used to identify those individuals authorized to sign offer letters, and other employment forms.
The notice to a faculty member of a reduction in months worked, when that change is derivative from a normal transition of responsibilities, such as from Department Head to Professor, is not considered to be an offer letter. Rather it is a notification and as such it does not require an offer letter per se, subject to the signature requirements above. Please see the attached sample notice.
The search card is used to both initiate and complete a search. The signature(s) appropriate to this document are those designated on the Signature Authorization Form (Item #4 - Employment Forms). The signature attests that there is a need for the position, that there are funds available to support it, and that the search process and procedures comply with affirmative action principles.
This document authorizes monies to be paid to individuals who have a specified relationship with the University as described in the offer letter. The signature(s) appropriate to this document are those designated on the Signature Authorization Form (Item #4 - Employment Forms).
Special arrangements have been made for Payroll Authorizations for Graduate Assistants, consistent with electronic processing. As such, they are not subject to the above requirement.
As Division Heads, Deans, Directors or Department Heads, you are accountable for all commitments and expenditures made within the units under your purview. The delegation of signatory authority does not relieve you of that responsibility.
